CONFERENCE & BUSINESS-EVENT TRANSPORT

Conference transport for delegates and organisers Your event, coordinated.

Plan airport, hotel and venue journeys with our 24-hour office, from arrival waves to delegate returns. Contact us for a quote based on your itinerary and vehicle needs.

A COORDINATED PLAN

Move delegates around your event

Our office can arrange airport arrivals, hotel-to-venue journeys and returns around your event schedule. Choose separate bookings for independent guests, additional cars or an arranged shuttle running back and forth.

We will discuss the itinerary and suitable vehicles with you and quote for the agreed movements. You do not need an account to book: ordinary card or cash bookings are available, while approved account customers can agree billing terms with the office.

WAYS TO ARRANGE THE DAY

Choose how your event travel works

Bring us the full itinerary or discuss the movements you need help planning.

Delegate itinerary

Plan arrival waves, hotel-to-venue legs and returns, including collection order and uncertain finish times. The office can compare a shuttle, wait-and-return or separate return with you.

Organiser and passenger communications

Choose an authorised organiser and agree who receives confirmations and change messages. Passengers can coordinate with their assigned driver during an accepted journey; material changes must go through the office.

Vehicles for each movement

Tell us how many people and bags travel together, including assistance needs and unusual items. Ask about additional cars, larger arrangements or hourly hire; simultaneous vehicles and coaches are not assumed.

PLANNING YOUR ENQUIRY

Give each movement a clear meeting point

Share the date, event times, collection and destination addresses, intervals and passenger numbers for each arrival, venue transfer, return or shuttle loop. Include airport details where relevant, plus the number and sizes of suitcases and cabin bags, any unusual items and the assistance needed.

Identify the hotel or venue entrance and a proposed lawful pickup point, with current access instructions where these affect the meeting place. Give us a primary organiser and the person authorised to request changes. Tell us if the finish time is uncertain so we can discuss your return options.

GROUP VEHICLES

Choose space for delegates and luggage

Six-passenger vehicles are our standard group option, available around the clock. Passenger numbers and luggage need to be considered together, so tell us what each group is bringing.

Ask the office about seven or eight-plus passengers, multiple addresses, additional vehicles or an hourly arrangement. Tickets, venue access, passenger marshals and guest-list management are not automatically included.

GOOD TO KNOW

Conference transport questions

Answers to common questions about delegate movements, changes and returns.

Can you coordinate several arrival and return waves?

Yes. The office can plan separate movements, discuss additional cars or arrange a driver to shuttle back and forth. Share each wave’s addresses, intervals, passenger details and destination; simultaneous vehicle availability is not assumed.

Who can change a conference booking?

The booker or a designated authorised contact can request a change through the office. The office will confirm any accepted change, including revised times, stops, passengers, vehicles and charges where relevant; receipt of a request is not acceptance.

A passenger can coordinate with the assigned driver during an accepted journey, but material changes must reach the office. For a time-critical change, seek acknowledgement and call the office if your message has not been acknowledged.

What if the event finish time is uncertain?

You have three options: contact the office when ready for a car subject to availability, reserve a wait-and-return with chargeable waiting under the agreed terms, or arrange a separate approximate return.

There is no guarantee of immediate collection when booking once ready. If a separate return is delayed, contact the office; waiting or changes may affect the cost. A separate booking does not automatically retain the outward driver or vehicle.

Can delegates book separately from the organiser?

Yes. Guests can make independent bookings, or an arranger can book for colleagues or guests. Agree whether the organiser controls the journeys and who receives their communications; permission to change a journey or see another passenger’s details is not automatic.

How is an event booking quoted and confirmed?

The office quotes for the itinerary, vehicles and agreed extras. It will explain the total and conditions before acceptance, including any applicable waiting, parking or access costs.

An enquiry, quote or payment alone does not confirm a car. KB confirms a booking by SMS and/or email.

Plan transport with the office

For a single ordinary journey, use the separate journey quote option. The office helps plan groups and multiple vehicles.
