HOTEL & CONCIERGE

Hotel and concierge transport partnerships Guest journeys, clearly arranged

Book a pre-arranged private-hire journey for a guest or discuss a concierge partnership for your hotel. Our 24-hour office can agree the journey quote, payer and collection arrangements with you.

For hotel decision-makers

Choose how your team books

Any receptionist can arrange an ordinary guest journey without joining a partnership or installing an app. For hotels that want an ongoing concierge arrangement, our office can discuss onboarding and a configured workflow for booking on guests’ behalf, viewing relevant bookings and commission, and requesting payouts.

The guest normally pays for the journey described. Agree any different payer or account terms before acceptance. The quote reflects the journey details and agreed extras; an enquiry, quote or payment alone does not confirm a car. KB confirms a booking by SMS and/or email, giving the guest and reception the relevant confirmation and reference.

For each guest journey

A clear booking from request to handover

Use the route agreed with the office and keep the guest informed of the price and meeting point.

Choose the booking route

Make an ordinary booking with the office, or use your onboarded team’s configured concierge workflow. Direct, request and confirm-price modes have different acceptance steps.

Gather details with authority

With appropriate authority, provide the guest’s name and reachable contact, collection and destination, date and time, passenger and luggage details, and any assistance needs. Include stops or a return plan where relevant. KB Cars is registered with the ICO. Our Privacy Notice explains how we handle booking information.

Agree the quote and payer

Check the journey, price and who pays through the applicable booking route. Once KB confirms the booking, give the guest the relevant journey details and reference.

Make the handover straightforward

Agree where the guest will meet the driver

Give the office the property’s exact collection point and agree a waiting place the guest can identify. A lobby, side entrance or room collection may involve different access arrangements; driver entry cannot be assumed. Keep room, identity and access information private and limited to what is needed.

If a guest is delayed, checks out early or cannot find the meeting point, contact our 24-hour office for help. An authorised booker can request changes to the journey; pass the accepted details and any revised charge to the guest.

GOOD TO KNOW

Questions hotel teams ask

The practical and commercial details behind guest bookings and concierge partnerships.

Do we need a partnership before booking a guest?

No. Any receptionist can ask the office to arrange an ordinary pre-booked journey. A formal partnership is a separate option for an onboarded hotel team using the configured concierge workflow, with relevant booking and commission visibility and payout requests.

Who pays for a hotel-arranged journey?

Normally the guest pays for the journey described in the accepted quote. The hotel does not automatically pay, and a partnership does not automatically create commission for a particular booking. If the hotel, an account or another person will pay, agree this with the office before acceptance and keep payer and guest details clear.

What if the guest’s plans change?

The booker or designated authorised contact should request the change from the office, including any new time, address, stop, passenger, vehicle or terminal details. Acknowledgment of the request is not acceptance: the office must confirm the change and any revised charge. Pass the accepted details to the guest. For a time-critical change, call the office if your message has not been acknowledged.

Can the driver meet a guest inside the hotel?

Lobby entry or help can be arranged for premium journeys or by request, subject to actual access. It is not an automatic escort from every room. Agree the waiting point with the office and tell the guest where to be; keep room, identity and access details private.

Guidance to the car and loading ordinary bags or a folding wheelchair can be arranged without charge. Discuss any additional escort inside the building and any cost with the office.

How do commission and payouts work?

An onboarded hotel team can view relevant commission and request payouts through its configured arrangement. A payout request is not the same as a transfer being marked sent. Discuss the terms and team or finance visibility with the office; a particular booking does not automatically earn commission.
