Formal hotel partnership
For a team arranging guest journeys regularly. Discuss the concierge process and commercial terms with our office, which reviews your enquiry before accepting the partnership.
HOTEL PARTNERSHIPS
Arrange private-hire journeys for your guests with support from our 24-hour office. Discuss your hotel's booking needs, journey quotes and partnership terms with us; we review each enquiry before accepting an arrangement.
HOW THE PARTNERSHIP WORKS
A hotel partnership gives your team an agreed concierge process for arranging journeys on guests' behalf. The concierge app lets an onboarded team book, view relevant bookings and commission, and request payouts. Our office will explain the request, quote and acceptance steps configured for your hotel, as well as the commission and payout terms.
The guest normally pays for the journey unless another payer arrangement is explicitly agreed. A partnership enquiry does not instantly activate a partner or credit account: the office reviews your needs and confirms whether the arrangement is accepted. For a single guest journey, any receptionist can book by phone or web without a partnership.
CHOOSE YOUR ROUTE
Choose the route that fits your reception team's needs.

For a one-off or occasional journey, a receptionist can book by phone or web without onboarding. The guest normally pays unless another payer arrangement is agreed.
Agree who can accept the guest's quote and who will pay. The journey quote reflects details such as the addresses, timing, vehicle and agreed extras.
PREPARE YOUR ENQUIRY
For a partnership enquiry, tell us about your hotel, who will request journeys and how your team expects to use the service. We can then discuss the booking process and the terms appropriate to your arrangement.
For a guest journey, obtain the guest's permission to share their name and reachable contact details. Prepare the collection and destination addresses, date and time, passenger and luggage details, assistance needs and any relevant flight, train or venue information. Agree the waiting point with the office and tell the guest where to be. Share room numbers and access information only where needed for the journey. KB Cars is registered with the Information Commissioner's Office (ICO); our Privacy Notice explains how we handle booking information.
GOOD TO KNOW
Practical answers for hotel managers and reception teams.
No. Any receptionist can make an ordinary phone or web booking for a guest. A formal partnership is a separate arrangement for teams that want an agreed concierge process; it need not delay a normal journey.
Our office reviews your requirements, discusses the configured request, quote and acceptance steps, and confirms whether the partnership is accepted. An enquiry, quote or payment attempt alone does not confirm a car; a journey is booked when KB sends confirmation by SMS and/or email. Share the relevant confirmation and reference with the guest.
The guest normally pays for the journey. If the hotel or another account is to pay, agree that with the office rather than assuming it applies to every booking. Commission and payout terms are discussed as part of the partnership; a payout request is separate from a transfer being sent.
The authorised booker should contact our 24-hour office about a delayed guest, early checkout or meeting difficulty. A change request is not itself an accepted change: the office will confirm any accepted revision and charge. For a time-critical change, call if a message has not been acknowledged. Tell the guest the waiting point agreed with the office; driver entry depends on actual access.
