Planning business airport travel Arranged around your itinerary.

Arrange airport travel for yourself, a colleague or a client with help from our 24-hour office. Your quote reflects the journey and vehicle you need; contact us to discuss the itinerary and billing.

FOR TRAVELLERS AND ARRANGERS

A clearer journey from booking to arrival

Whether you are travelling or arranging for someone else, our office can help agree the vehicle, itinerary and who receives updates. For airport arrivals, flight tracking and meet-and-greet are free; parking and applicable waiting are separate charges.

An accepted booking is confirmed by SMS and/or email. An enquiry, quote or payment attempt alone does not confirm a car. Receipts are available on request through the agreed booking or account flow.

PLAN THE DETAILS

Prepare your business airport journey

A clear brief helps the office agree the right arrangement and price.

Choose how to book and pay

Decide who is authorised to book and whether to use an ordinary booking or apply for an account. For an account review, share your organisation, contact, intended journeys and billing details.

Prepare the itinerary

Give the exact collection and destination addresses, date and time, airport and terminal, airline and flight number, and whether the journey is an arrival or departure. Include passenger and luggage details, vehicle or assistance needs, returns, stops, connection deadlines and a reachable lead contact, including international contact details if needed. KB Cars is registered with the ICO; our Privacy Notice explains how we handle your booking information.

Keep changes recorded

The booker or designated authorised contact should send material changes to the office. Acknowledgement of a request is not acceptance: wait for confirmation that the change has been accepted and any revised charge agreed. For a time-critical change, call if your message has not been confirmed.

GOOD TO KNOW

Business airport travel questions

Practical answers for arranging travel for yourself, a colleague or a guest.

Can I arrange an airport journey for someone else?

Yes. A booker or designated authorised contact can arrange travel for a colleague or guest and agree who receives passenger updates, confirmations and receipts. Being the passenger does not automatically authorise changes to the account or someone else’s booking.

What should I do if a flight is delayed or diverted?

Contact the office with the updated flight, terminal, ready time and destination. Flight tracking helps planning, but landing does not establish when the passenger has cleared arrivals and is ready to meet the driver. A diverted airport or new destination may need a different driver and revised quote; the change remains pending until the office accepts and confirms it.

Can our business use an account for receipts?

Yes. Ask the office to review an account and discuss authorised bookers, invoices, journey receipts and purchase-order references. Monthly billing is offered, with the cycle date and credit terms agreed at approval. An application does not grant automatic credit; ordinary card or cash bookings remain available while it is considered. Receipts are also available on request for ordinary bookings.

How do I explain luggage or assistance needs?

Tell the office the passenger count, bag counts and sizes, unusual equipment and any walking or entry needs. Include an accompanying carer, who needs a seat, or a child-seat request so the office can confirm a suitable arrangement.

Guidance to the car and loading ordinary bags or a folding wheelchair can be arranged without charge. An optional escort inside a building is assessed separately, with any cost agreed. KB does not currently have wheelchair-accessible vehicles; clinical transfers need separate assessment. You can bring a suitable child seat or ask the office to arrange one, subject to availability and suitability.
