PRIVATE HIRE FOR RACE DAY

Ascot race-day transfers Your day, your return plan

Travel to Ascot with a collection and return plan that suits your day. Our 24-hour office can quote for your journey, vehicle and agreed extras—contact us to arrange it.

PLAN YOUR DAY

Arrive for your meeting with a return plan

Whether you are travelling alone or organising a group, we arrange pre-booked private hire to Ascot. Tell us the date, meeting and enclosure, where you are travelling from and when you need to arrive. We can plan the outward collection around your arrival target.

Choose a one-way journey, a separate return, wait-and-return or hourly hire. Our office can discuss the options and quote for your addresses, timings, vehicle and agreed extras. You can contact us without installing an app.

YOUR RACE-DAY OPTIONS

Choose an arrangement that fits

Plan around your arrival deadline, how predictable the finish is and where your group can meet the car.

Arrival at Ascot

Give us your meeting or enclosure and the time you need to arrive. The office can discuss an outward collection plan around that deadline.

Wait-and-return or separate return

Reserve the driver to wait, or agree an approximate separate return. Waiting is chargeable under the agreed terms; a separate return does not retain the outward car. You can also contact us when ready, subject to availability.

One plan for your group

One organiser can coordinate multiple addresses, extra stops and different returns. Tell us if anyone has difficulty walking so we can discuss a workable meeting point.

ASCOT ACCESS DETAILS

Name the meeting and enclosure

Ordinary racedays and Royal Ascot may have different parking arrangements. Give us the actual meeting, enclosure and proposed meeting point for your date. Published parking information does not itself give a private-hire vehicle access to a particular gate or car park, or provide a pass.

Drivers need a lawful collection point, and temporary road closures may change the plan. If racing overruns or your collection needs to change, the booker or authorised contact should ask the office. Acknowledgement of a request is not acceptance: wait for the office to confirm the agreed change and any revised charge. If a time-critical message has not been acknowledged, call the office.

VEHICLES AND GROUPS

Choose space for passengers and luggage

Six-passenger vehicles are our standard group option. Ask the office about seven or eight-plus passengers, additional vehicles, several addresses or an hourly arrangement.

Tell us how many people are travelling, the number and size of bags and any unusual items or folding wheelchair. An accompanying carer needs a seat. We will discuss a suitable vehicle for the combined passenger and luggage needs.

GOOD TO KNOW

Ascot race-day transfer questions

Practical answers for your arrival, group and return.

Which return works if we do not know when racing will finish?

You have three choices: agree an approximate separate return and contact the office if delayed; reserve wait-and-return for an agreed period; or contact us when you are ready and we will arrange a car subject to availability. Waiting is chargeable under the agreed terms, and waiting or changes may affect the cost of a separate return. A separate return does not keep the outward car waiting.

Can you collect from the racecourse car park or a particular gate?

The office can discuss a lawful pickup, but a particular gate or car park cannot be guaranteed. Give us your enclosure, proposed meeting point and relevant access instructions; parking guidance alone does not establish private-hire access.

Can one organiser coordinate several passengers or returns?

Yes. The booker or designated contact can discuss several addresses, separate returns and additional vehicles. Material changes must be requested through the office by the booker or authorised contact, rather than arranged informally with the driver alone; the office will confirm an accepted change and any revised charge.

What if someone in our group cannot walk to a remote pickup point?

We can discuss a lawful, workable alternative to a remote pickup point. Tell the office about the person's walking tolerance, entry needs, bags and any accompanying carer. Guidance to the car and loading ordinary bags or a folding wheelchair are free; please arrange this help in advance where possible. We do not currently have wheelchair-accessible vehicles, although a folding chair can travel as luggage where suitable.

Plan transport with the office

For a single ordinary journey, use the separate journey quote option. The office helps plan groups and multiple vehicles.
