Student travel to and from university

Pre-book private hire between Heathrow or Gatwick and your campus or accommodation. Enjoy free airport arrivals meet-and-greet and flight tracking. Contact our 24-hour office for a journey-specific quote.

Find your destination

Choose the campus, hall or reception

A teaching campus, student hall and key-collection desk can have different addresses. Kingston has four campuses; Royal Holloway’s guide covers Egham; Surrey’s Stag Hill and Manor Park are separate arrivals; and Roehampton’s main campus and Whitelands need different instructions.

Each guide covers Heathrow and Gatwick journeys as well as public transport alternatives. KB also arranges station transfers, term-start journeys, university visits, graduations and other student travel.

Plan your journey

A comfortable fit and the right arrival point

The office can help agree a suitable vehicle, extra stops and your return.

Find the actual arrival point

Give the hall, reception or campus entrance and check key-collection hours. Tell the office about access instructions and any extra stop.

Match the vehicle to your group

Include companions, suitcase and cabin-bag counts and sizes, and any pushchair or bulky item. Ask about an estate for extra luggage, a six-passenger vehicle, or a seven- or eight-plus vehicle; the office will check the combined passenger and luggage requirements.

Agree the booking

Ask what the quote includes and agree the meeting plan and any extras. An enquiry, quote or payment alone does not confirm a car: KB confirms the booking by SMS and/or email.

Airport arrivals

A clear plan from flight to accommodation

For airport-to-university or airport-to-home arrivals, KB offers free meet-and-greet and tracks your flight. Give the office your terminal, flight number and UK arrival date, and agree a meeting point and a useful way to contact you if you cannot find the driver. Free meet-and-greet does not include unlimited free waiting; ask about applicable waiting and airport charges. KB Cars is registered with the ICO; our Privacy Notice explains how we handle your booking information.

For a journey to the airport, give the office your airline’s reporting requirement so you can agree a suitable pickup. University transport schemes may be free or subsidised for eligible students; check their current eligibility and booking windows separately. Kingston’s term-time intersite bus has a general fare, with free travel for eligible accessibility-pass holders.

Other travel options

Compare the complete route

A coach or train may still leave a final connection to your hall. Compare changes, walking, luggage, companions and reception hours, and check an operator planner for your travel date.

From Heathrow Terminal 5, bus 8 serves Royal Holloway’s Egham campus; Egham rail needs a final campus leg. For Surrey, Heathrow RailAir 2 serves The Chase, while Gatwick trains connect to Guildford with onward local travel.

GOOD TO KNOW

Student travel questions

Answers to common questions about your journey and booking.

Can I book for a student travelling with family?

Yes. Family and companions can travel together. Tell the office how many people are travelling, what luggage they have and whether child seats are needed so a suitable vehicle can be arranged. The student should confirm their accommodation arrival arrangements.

Is KB Cars part of the university’s transport scheme?

No. KB Cars is independent of university transport schemes, and this guide does not offer a university discount. University coaches, shuttles and subsidised transfers have their own eligibility and booking terms; check the institution’s current offer before choosing private hire.

What if my flight or key-collection time changes?

Contact the office and, where appropriate, your accommodation team as soon as your plans change. The booker or an authorised contact should request any material booking change and agree the revised arrangement and any charge; a request or acknowledgement is not acceptance.

KB tracks flights and offers free meet-and-greet for airport arrivals to university or home. Waiting, parking or cancellation charges may still apply; ask the office how they affect your booking.

Can I arrange a return to Heathrow or Gatwick?

Yes. You can enquire about travel in either direction and arrange a return, subject to office confirmation. For departure, give your pickup address, terminal and airline reporting requirement, along with passenger and luggage details, so you can agree a pickup plan.

Can I bring a child seat or request one?

Yes. You can bring and fit your own suitable child seat, or ask the office to arrange one. Give the child’s relevant height, weight and seat requirements so suitability and availability can be checked.

A KB-supplied seat has a £3 offer for airport journeys and non-airport pre-bookings over £50. Local and short-notice requests depend on availability. For other bookings, check the price with the office and confirm the number of seats and total charge before booking.

What if I need to carry bulky items?

Tell the office about furniture or other large objects before booking. A large passenger vehicle is not automatically a moving service. Undeclared bulky loads may incur extra charges, and the driver is not expected to help load them.

How do I get a fare for my journey?

Ask the office for a quote using your full pickup and destination addresses, date and time, passenger count and vehicle or luggage needs. The price can vary with travel time, including peak periods; a postcode alone does not establish the fare.

For a return, discuss each leg and whether the driver will wait. Ask what is included and what waiting, parking or other agreed extras would cost, then confirm the price and arrangements before booking.

Practical support

Equipment and assistance

Enquiries are welcome for journeys anywhere, including outside London. Advance booking gives the office more time to arrange your journey, but short-notice enquiries are welcome and depend on an available car.

We can carry folding wheelchairs, but currently have no wheelchair-accessible vehicles. Tell the office the folded size, other luggage and any assistance you need so we can confirm a suitable arrangement.

Guidance to the car and loading ordinary bags or a folding wheelchair are free. Let the office know about the help you need beforehand so a suitable driver can be arranged. Optional escort to or inside a building, shopping centre or flat depends on the task and may carry an agreed charge; discuss the scope and any fee with the office. This does not change any required disability assistance.
